How to Inspect and Hand Over Commercial String Light Deliveries

Check cartons, quantities and accessories before releasing commercial string light deliveries. Keep inspection records and hand over matching equipment and instructions.

Inspect commercial string light deliveries before releasing them to installation crews. Count the cartons, record visible damage, check the received configurations and accessories against the order, and keep suspect goods separate. Hand over released stock with its matching power equipment, connection limits and installation instructions. A delivery receipt records what arrived; it should not be confused with technical approval to install it.

What Should Be Ready Before the Shipment Arrives?

Give the receiving team the latest approved order documents, not an early quotation that changed during sampling. Identify who will count the delivery, inspect selected units, resolve discrepancies and authorize release. Prepare a dry receiving area with separate locations for goods awaiting inspection, released stock and items on hold.

Use the packing list to reconcile carton contents and quantities. Transport documents help identify the consignment, but may describe pallets or other packages rather than individual cartons. Check the units used on each document. If the product has no fixed model code, use the agreed configuration and order references consistently.

Before dispatch, agree how cartons and product units will be selected for inspection, which configurations must be represented, the acceptance criteria and what happens if a defect is found. There is no single percentage suitable for every shipment. Consider batch size, product variation, transport condition and the project’s inspection requirements.

How Should the Receiving Team Check the Delivery?

Check the outer cartons before unpacking

Look for crushed corners, punctures, water staining, broken closures or disturbed packaging. Photograph the overall load, affected cartons and shipping labels while their relationship is clear. Record what you observed without assuming the cause. An intact box does not prove the contents are undamaged, and a dented box does not automatically mean the product must be rejected.

Compare shipping marks, carton identifiers and readable barcodes with the packing list. Keep the original packaging associated with any suspected damage while the issue is assessed. Follow the agreed receiving and notification procedure promptly rather than waiting until the installation crew opens the cartons.

Reconcile quantities and configuration versions

Count the packages actually received, then check units per carton and totals under the agreed inspection plan. Record shortages, extra items and mixed configurations separately. Compare voltage, light color, cable requirements, illuminated length and lead length with the current approved specification. A label check alone cannot verify every internal material parameter.

Use our bulk string light specification checklist to identify the details that should be traceable through the order. If units differ from the approved sample, record the precise difference rather than describing the whole delivery simply as “wrong.” Keep carton and batch references with the findings.

Check accessories and matching power equipment

Open the selected cartons and compare the contents with the agreed packing arrangement. Check the required lead cables, end caps, controllers, power supplies and mounting accessories where included. Confirm quantities and compatibility, not just whether something with a similar appearance is present.

With the equipment disconnected, inspect visible cable damage, molded joints and accessible connectors. Check seals and locking parts according to the supplied design; not every connector uses the same gasket arrangement. The IP65 outdoor application guide explains why correct assembly and matching test coverage matter. A visual seal check does not verify the IP rating.

If functional checks are planned, arrange them after the disconnected review with competent personnel, suitable power equipment and the product’s protective arrangements. Our sample inspection guide distinguishes dimensional, assembly and functional checks. Record which units were checked and the method used; do not treat a few working strings as proof that every unit is sound.

Isolate discrepancies and document the next action

Keep damaged, suspect or incorrect goods out of released stock. Label their status and record the affected quantity, carton references, photographs and issue description. Notify the responsible supplier, carrier or project contact under the applicable procedure, retaining evidence needed for assessment. Do not alter or discard the evidence before agreeing the next step.

For electrical equipment, OSHA’s equipment-use requirements provide a relevant U.S. workplace reference: damage that could expose an employee to injury requires the item to be taken out of service. Apply the rules for the actual site and have appropriate personnel resolve safety concerns before use.

What Should the Inspection Record and Crew Handover Include?

Keep a receiving record with a clear release decision

Complete a record for each shipment and distinguish receipt, inspection and release. The fields below are a blank worksheet, not a completed approval. Attach detailed findings where one summary entry would hide several different configurations or issues.

Record fieldEntry to complete
Shipment identityPO, delivery date and transport reference
QuantitiesExpected / received cartons and product units
Inspection scopeSelected cartons, units, configurations and method
FindingsCondition, discrepancies and evidence references
Release decisionReleased / held quantities, actions, approver and date

If only part of the shipment is released, identify the exact quantities and carton references. Record who authorized the decision and when. A status such as “conditional pass” is too vague without a defined scope, outstanding actions and restrictions; it must not send suspect electrical equipment into service.

Give the crew the stock and the information together

Match each released configuration to its intended zone. Keep the corresponding driver, controller, lead and end cap identifiable through storage and issue. A connection that physically fits is not enough to establish electrical compatibility.

Handover itemInformation to provide

Zone and circuit planConfiguration, lengths and intended installation location
Power and connection limitsMatching supply/controller, load and permitted connection limits
Assembly instructionsConnector locking, seals, caps and protected power arrangements
Spares and sign-offCompatible parts, quantities, missing items, names and date

Provide spare strings and accessories as agreed. Replacement fuses belong in the package only where the product is designed for replacement and the correct specification is confirmed. Record the quantities transferred, missing items, document revisions, receiving crew and handover date. Our commercial holiday lighting installation guide covers the next stage: support, routing and on-site checks.

Frequently Asked Questions

What if the delivery does not match the approved sample?

Place the affected goods on hold and compare them with the approved reference and written specification. Document the difference, notify the supplier and agree correction, replacement or another documented resolution before release. Check whether other cartons or configurations may be affected. A deadline should not substitute for that decision.

Is burn-in testing required when goods arrive?

Not as a universal receiving rule. Functional spot-checks and burn-in are different activities. Agree the selection, operating conditions, duration and acceptance criteria for any checks required. Powering products can reveal some faults, but cannot rule out all hidden transport damage or replace electrical safety assessment. Do not energize damaged, wet or suspect equipment to see whether it works.

Plan Delivery and Handover Requirements with OSLENA

Before ordering, tell OSLENA how the goods will be received and divided between installation zones. Share your packing, shipping-mark, barcode and accessory requirements, along with the delivery schedule and inspection expectations. Confirm the available arrangements in the order documents.

Ask which pre-shipment records and technical documents apply to the selected configuration. Our test report review guide explains how to assess their scope. Contact OSLENA about delivery and supply requirements or explore our commercial decorative lighting solutions. Clear receiving criteria help the warehouse and installation teams work from the same information.
